Adding someone to payroll

When you add a teammate to payroll, you can set up their pay and employment details, send offer documents, assign their role, and issue a card if they need one. After you send the invite, they'll complete their personal, tax withholding, and bank account details themselves.

This article covers how to add a teammate to payroll and what happens after you send their invite.

Adding a teammate to payroll

Both team members and contractors must be based in the US to be added to payroll. You’re responsible for making sure their employment and pay details meet applicable requirements.

Add their details

  1. From your Payroll home page, scroll to the Team section
  2. Select Add teammate
  3. Search for an existing Mercury teammate, or select Invite a new teammate
  4. Enter their name, email, job title, personal email, and whether they're a team member or contractor. You can also add their manager and department
  5. Select Next

Set up their employment and pay

  1. Choose their work location: Select an existing office or enter their state if the team member is remote
  2. Set their pay type: Choose from the available options based on whether they’re a team member or contractor
  3. Enter their pay details: Add their pay rate and scheduled hours, if applicable, then complete any optional fields for signing bonuses, overtime eligibility, or contract documents (if applicable)

Add offer documents

  1. Under "Offer Documents", select Add offer letter to send a default offer letter for e-signature. You can also add a standard confidentiality agreement.
  2. Preview offer documents before sending or select X to remove them.

Note: We’ll collect I-9s by default but if you choose to collect them elsewhere, you can unselect this document.

Assign a role and card

  1. Select Next, assign the teammate a role, then select Next
  2. Choose whether to issue them a card. If you do, select the card type and set their spend controls
  3. Select Next

Review and send the invite

  1. Review the teammate’s details before sending their invite

Note: You’re responsible for confirming that your teammate’s employment and pay details comply with applicable laws and requirements. This includes, but isn’t limited to:

  • Their pay meets minimum wage requirements for their work location
  • They’re correctly classified as a team member or contractor
  • They’re at least 18 years old
  • Their pay frequency meets applicable state requirements

  1. Once you’ve reviewed their information, select Send Invite

After you send the invite

Your teammate will receive an email asking them to create an account and complete their onboarding. They'll be able to sign their offer letter or confidentiality agreement and provide their:

  • Personal info
  • I-9 verification (if applicable)
  • Bank account for receiving pay
  • Tax withholding information
  • Benefits elections (if applicable)
