Managing your payroll settings

Your payroll settings are where you manage your pay schedules, payroll funding account, work locations, state tax details, and signatories.

This article covers how to find your payroll settings and what you can manage in each section.

Open your payroll settings

  1. Go to your Payroll home page
  2. Select Settings
  3. Select the setting you want to manage from the left-hand menu of your dashboard on web

Pay schedules

The Pay schedules page lists each pay schedule you've set up, including:

  • How often the schedule runs
  • The next payday
  • How many people are on the schedule
  • Whether payroll is submitted manually or automatically

You can create multiple pay schedules when different team members or types of pay need to be paid on different timelines. For example, you might use a separate schedule for:

  • Hourly team members whose payday falls after the end of their pay period
  • Team members who are subject to different pay frequency requirements
  • Stipends or other additional pay that you pay on a different schedule from regular wages

You’re responsible for choosing pay schedules that meet applicable wage and hour requirements.

Select Add pay schedule to create a new schedule.

Select an existing schedule to view its details, edit its name, or move members off one pay schedule onto a new one. You'll also see a preview of your next pay run. Learn more here.

Payroll funding account

Your payroll funding account is the Mercury account used to pay your payroll. You can view or change it from the Pay schedules page. External bank accounts aren’t supported.

This account is also used for benefits registration and shared with your workers’ compensation vendor. Changing it also updates the funding account for benefits vendors managed by Mercury or Central, except 401(k) and Thatch.

Make sure the account has enough funds to cover payroll to help prevent failed debits and associated fees.

Work locations

The Work locations page lists the addresses your team works from and the number of team members assigned to each location. Work locations determine which payroll tax jurisdictions Mercury files in and the taxes your team members pay.

Select Add work location to add another location.

Please notify us as soon as team members move to new workplaces, you may be subject to refiling costs and penalties from states if you fail to report wages.

Tax accounts

Your Tax accounts page hold your state payroll tax registrations, grouped by state. For each state your team works in, you'll find:

  • Accounts & IDs — your withholding and unemployment account numbers for that state. Select the eye icon to reveal a number
  • Rates — expand to see the tax rates that apply to you
  • Elections — expand to see your tax elections

Signatories

The Signatory page list the company members who are authorized to sign on behalf of your company. A signatory must complete payroll setup and tax authorizations.

Select Change signatory to make a change. Signatories must have a signature on file. If you select someone who doesn’t have one, they’ll be prompted to add their signature before you can add them as a signatory.

Only eligible company members appear when you add a signatory. If the person you want to add isn't listed, add them as a company member first.

Frequently asked questions

Can I edit a work location?

You can edit a work location until wages have been paid to someone working at that location. After wages have been paid, the address can’t be changed. If the address is incorrect or changes, add a new work location and move the relevant team members to it.

How do work locations work for remote team members?

A remote team member’s home address is their work location. Individual home addresses don’t appear in the company’s work location list, which shows office locations.

If multiple team members work from the same home, you can add that address as a company work location and assign them to it.

How do I move someone to a different work location?

Change a team member's work location from their individual profile via Payroll home > Team section. Changes to work locations go through a review process and may take up to 3 business days.
