The Advisor Portal is where accounting firms and bookkeepers manage clients, team members, and referrals from a single login. This article covers how to set up and access the Portal, how to move between client accounts, and how to manage client and team access.
How to set up and access the Advisor Portal
The Advisor Portal is available to all Mercury for Accountants partners. How you set it up depends on whether your firm already uses Mercury.
If your firm already has a Mercury account
- Log in to your Mercury account first, so that your existing and new accounts are connected
- Go to app.mercury.com/advisor-portal/signup
- Complete the setup process
If your firm is new to Mercury
- Go to mercury.com/for/accountants
- Scroll to the "Become a Mercury Accountant Partner" section and complete the form
- Once your firm is approved, the Mercury team will be in touch to guide you through setting up your Portal and accepting the Terms and Conditions
If a client invited you to manage their Mercury account
- Find the email with the subject line "You've been invited"
- Click Activate your Account or Review Invite in the email
- If you're new to Mercury, enter your details to complete setup, which includes creating a password, creating your profile, and configuring two-factor authentication
Switching between and viewing all accounts
You can use the account switcher to move between the Advisor Portal and individual client accounts, or open All Accounts to view information across every Mercury account you're a team member of.
- On Mercury web, click your company name in the top left corner of your dashboard
- Select a client account to open its dashboard, or click All Accounts to view all accounts at once
From the “All Accounts” dashboard, you can view balances and money movement across accounts and:
- Set All accounts as your default view
- Search for a specific account
- Add or link another Mercury account for a new client
- Download monthly Mercury statements for all linked accounts
- Open an individual client's dashboard
Adding and managing clients on the "Clients" page
The "Clients" page is the homepage of the Advisor Portal, where you manage the clients who use your firm's services. From the "Clients" page, you can add and view clients, view balances and money movement, download account statements in bulk, and open client dashboards.
Adding a new client
Only Advisor Portal Managers can add new clients. To add one:
- Log in to Mercury and go to your Advisor Portal
- On the "Clients" page, click Add a Client
- Enter the email address of an Admin on your client's Mercury account — if you're not sure which email to use, confirm with your client directly
- The client Admin receives an email prompting them to approve your request
How your client approves your request
Adding a client gives your firm access only after the client approves the request. Here's what happens on the client's side:
- The client Admin receives a notification by email and on their "Team" page, prompting them to review the request
- By accepting the invite, the Admin invites your Advisor Portal Managers into their organization
- The Admin assigns your Portal Managers permission levels and account access
- Once approved, the organization appears on your "Clients" page and you gain access to their dashboard
After a client is approved, you can extend similar access to other members of your team.
Adding and managing team members on the "Team" page
The Users page is where you can add users to your firm, manage their Advisor Portal roles, and assign them to client accounts.
Adding a team member
- Open your Advisor Portal on web and select Users from the lefthand menu
- Click Invite
- Enter their name and email address, and select a role
- Send the invitation
The team member will receive an email to create their account and join the Advisor Portal.
Advisor Portal roles
The Advisor Portal has two roles:
- Manager: can view all clients, add or remove staff, assign staff to clients on behalf of clients, and view referral activity and payouts
- Staff: can only view their assigned clients and other team members
Managing team members
Managers can assign team members to clients, update their roles and permissions, or remove their access.
On the Users page, click into a user to:
- Edit role: change their Advisor Portal role
- Remove from client: remove them from a specific client account
- Assign to clients: assign them to additional client accounts
- Once assigned, the team member can access those clients' dashboards and account information based on their permissions
- Edit permissions in client: adjust their access within a client account
- Remove from accounting firm: remove them from the Advisor Portal entirely
When a client invites you to their Mercury account directly
A client can also invite you to their Mercury account without going through the Advisor Portal. In this case, the client chooses your role. A common option for accountants is the configurable Accountant role.
If you'll be sending money from a client's account, the client can set up approval policies based on transaction amount and which Admins need to approve. See Navigating approvals for more information.
FAQs
Who can add clients to the Advisor Portal?
Only Advisor Portal Managers can add new clients. Team members with the Staff role can view their assigned clients but can't add new ones.
Can I download statements for all my clients at once?
You can download statements in bulk from both the "Clients" page and the All Accounts dashboard, which lets you pull monthly Mercury statements for all of your linked accounts.
Why can't I see all of my firm's clients?
If you can't see all of your firm's clients, you likely have the Staff role, which only shows clients you've been assigned to. Ask an Advisor Portal Manager at your firm to assign you to additional clients.
