Setting up Mercury Payroll

Mercury Payroll lives inside your existing Mercury account. There’s no separate app or login. Our Sales and Implementation teams guide you through setup, from confirming your company details to running your first payroll.

Getting started

  1. Use the account switcher in your left-hand menu to switch from Banking to Payroll, or visit mercury.com/payroll.
  2. Fill out a short form about your team: how many people you’ll pay, whether they’re W-2 employees, contractors, or both, and when you plan to start running payroll.
  3. Connect with our Sales team. A member of our Sales team will be in touch to walk you through Mercury Payroll, learn more about your needs, and help you get started.

On the call, we’ll learn more about your team. If Mercury Payroll is a fit, we’ll guide you through onboarding.

  • You’ll need a Mercury business account. Payroll is funded from a Mercury account. External bank accounts aren’t supported at launch.
  • You’ll need a verified EIN. Payroll can’t be set up while an EIN application is still pending.
  • The person setting up payroll becomes your signatory by default. The signatory is authorized to sign offer and tax documents and to manage payroll funds. If you’re not authorized to sign for your company, ask an admin who is to join setup.
  • Some industries aren’t eligible. A few industries that Mercury supports for banking aren’t supported for payroll. You can ready more about eligibility here.

How onboarding works

  1. Your call with Sales. On your call with Sales, we’ll review your payroll needs and walk you through how Mercury Payroll works. If you decide to move forward, we’ll begin setting up your company together. If additional time is needed, we’ll schedule a follow-up call to complete the setup
  2. Meet your Implementation Manager. Once setup is complete, Sales will introduce you to your Implementation Manager, who will be your main point of contact through your first successful payroll run.
  3. Activation and team onboarding. Your Implementation Manager will work on activating your company for payroll while you onboard your team.
  4. First payroll review. Once your company is activated and your team is fully onboarded, you’ll meet with your Implementation Manager to review your payroll dashboard, walk through your upcoming pay run, and go over everything you need to know before running your first payroll.
  5. Your first payroll. Your Implementation Manager will send you a reminder ahead of your first payroll’s auto-submission deadline and monitor your pay run through payday.
  6. Ongoing support. After your first successful payroll, Mercury Support becomes your point of contact.

What you’ll confirm during company setup

  • Company details. Your company’s legal name, filing address, entity type, and EIN are filled in from your Mercury banking* application. You’re responsible for making sure these details are accurate. Incorrect entity information can delay state tax registrations and lead to refiling fees. If anything needs correcting, select “I need to update something” or let your Mercury contact know.
  • Company officers. Choose who holds the CEO, CFO, and Secretary roles from your existing admins and owners. One person can hold more than one role. You can also add someone who isn’t on the list, as long as they’ve completed KYC. Not every admin automatically qualifies. If you’re not sure who to assign, check your Articles of Incorporation.
  • Pay frequency. The options are:
    • Weekly (Fridays)
    • Every two weeks (every other Friday)
    • Twice a month (the 15th and the last day of the month), which is the default
    • Monthly (the last day of the month)
  • First payday. You’ll see four valid dates based on the frequency you chose. Mercury handles banking-day and quarter-end timing for you.
  • Funding account. Your Mercury primary checking account is selected by default. You can choose a different Mercury account or create a new one.
  • Authorizations. The last step is signing your debit and filing authorizations and the terms of service.
