Before each payroll run, it's important to make sure everyone is included, their pay is accurate, and you have enough funds to cover payroll. This checklist walks you through four things to review before edits close, including how to check your pay run details and confirm your submission deadline.
Your Payroll homepage shows your upcoming pay runs, including the name of the pay schedule, the pay period, and the run's status. Select the arrow icon on a card to open the full pay run, or open your Pay Runs page to view all.
Before edits close, check the four things below.
Check everyone you're paying is included
Open the pay run by clicking the arrow icon and confirm everyone you intend to pay appears in the Payees list. The card's payday row also shows a count, which is a quick way to spot someone missing.
If someone isn't there, go to the Team section of your Payroll home page and look at their status:
- Still onboarding — ask them to finish their onboarding before edits close
- Fully onboarded but not on the run — check that their start date falls within the pay period
To add someone to the run, select More, then Add payees.
Check their pay is right
In the pay run, each person shows their total earnings and their take-home pay. Select anyone to open their payment, where you can expand details about what’s being paid and/or withheld.
If someone's pay is wrong:
- For this run only, select Edit pay on their payment
- Going forward, change it on their profile instead — see Managing someone's payroll details
Check you have enough to cover it
The pay run shows Mercury debits, which is the total amount coming out of your funding account. The card on your home page shows an estimate of the same figure.
If you need more in the account, move funds in before edits close, or change your funding account from your pay schedule settings — see Managing your payroll settings.
Tip: the total changes from one pay run to the next, as bonuses, new hires, and deductions come and go. It's worth checking the amount each time rather than assuming last payroll's figure.
Note: if a payroll debit fails, a fee may apply.
Check your submission deadline
The pay run shows Edits close & runs — the date and time when the run locks, in local time. Your home page card shows the same date.
- If the run is on autopay, it submits itself at that deadline. You don't need to do anything, but any changes have to be in before then
- If you submit manually, you need to submit before the deadline for your team to be paid on your intended payday
