Managing reimbursement policies

As an admin, you can manage your team’s reimbursement policies from the Policies page in Settings

Receipt requirements

  1. Go to Settings > Policies > Reimbursements.
  2. Click Enable in the Receipt requirement section. You will be prompted to set an amount threshold at which the receipts will be required.
The IRS advises that all business expenses over $75 should have a corresponding receipt for tax filing purposes.
  1. You can select how strictly you would like to enforce the policy with the following options:
    1. Block requests will prevent team members from submitting an expense above the set threshold without a receipt.
    2. Alternatively, Allow with warning will surface a message to team members warning them about the policy, but still allow them to submit the expense above the set threshold without a receipt.
  2. Click Save to apply changes.
  3. To make changes, click Edit or Disable to update or remove the requirement respectively.

Note requirements

  1. Go to Settings > Policies > Reimbursements.
  2. Click Enable in the Notes requirement section. You will be prompted to set an amount threshold at which notes will be required.
  3. You can select how strictly you would like to enforce the policy with the following options:
    1. Block requests will prevent team members from submitting an expense above the set threshold without a note.
    2. Alternatively, Allow with warning will surface a message to team members warning them about the policy, but still allow them to submit the expense above the set threshold without a note.
  4. Click Save to apply changes.
  5. To make changes, click Edit or Disable to update or remove the requirement respectively

Timeframe restrictions

You can define the maximum number of days after incurring an expense that a team member can submit it for reimbursement.

  1. Go to Settings > Policies > Reimbursements.
  2. Click Enable in the Timeframe restriction section. You can set the number of days a team member has to submit a reimbursement request. The timeframe starts on the day that an expense is incurred.
  3. You can select how strictly you would like to enforce the policy with the following options:
    1. Block requests will prevent team members from submitting a request after the chosen timeframe
    2. Allow with warning will surface a message to team members warning them about the policy, but still allow them to submit the request after the chosen timeframe.
  4. Click Save to apply changes.
  5. To make changes, click Edit or Disable to update or remove the requirement respectively.
