Here are a few best practices to help you manage check payments securely and efficiently.
1. Keep your checkbooks secure
Checkbooks contain sensitive information, including your account and routing numbers. Store them in a secure location and limit who has access to them.
2. Maintain dedicated accounts for check writing
For better control and clearer accounting:
- Consider creating a checking account specifically for issuing physical checks
- Use auto-transfer rules to fund that account from your primary account as needed
- Monitor this dedicated account closely for rejected payments
This setup keeps check activity separate from other accounts and makes it easier for you to track and reconcile payments when it’s time to close the books.
3. Make sure you have sufficient funds
Check payments are only processed if the associated Mercury account has sufficient funds. Avoid failed payments by:
- Keeping an eye on account balances
- Enabling notifications for low-balance alerts
- Using auto transfers to maintain minimum funds in your dedicated check-enabled account
4. Log your payments
After writing a check, consider snapping a photo of it for your records or uploading it to your accounting software. This helps with reconciliation and gives you a copy in case of disputes.
5. Be thoughtful when printing checks
When ordering or printing checks from third-party vendors:
- Use a reputable provider with security features (e.g., CPSA certification, microprinted borders, thermal thumbprints)
- Confirm your business and account details are accurate before printing
- Consider including "Void after 180 days" on the backs of checks
- Use the Settings page to access the correct info for check ordering
6. Know what to do if something goes wrong
If a check was written in error or you suspect fraud, follow these steps:
- Notify Mercury immediately by emailing messaging our support team
- Temporarily adjust your check review settings to auto-reject until you’ve requested a stop payment on the affected check(s)
- Request a stop payment on any affected checks
